EMPIRE is an independent label, born and grown out of the Bay Area. We have grown to become the largest independent record label in the U.S., with a significant global presence covering Africa, Asia, Europe, Australia and North and South America. We keep ourselves busy with a large range of music-related services from original content and marketing, to distributions and recordings.
The Travel Coordinator works with our external travel agency to coordinate travel needs for company employees, clients and others with authorization. The Travel Coordinator will arrange business travel while identifying the most cost-effective and efficient travel arrangements and making necessary reservations for accommodations.
Duties include scheduling flights, hotel/housing, car rentals, and car service as needed. This is a great opportunity for someone wishing to continue their travel career in the entertainment industry.
What you’ll be doing
- Researches and compares available travel and hotel accommodations to identify the best available option for each travel need
- Assure travel arrangements are within approved travel reasons and budget limits, makes all arrangements and reservations as requested
- Prepares travel itineraries and distributes travel arrangements and schedules to all appropriate staff
- Obtains approval from leadership for travel requests and expenses that exceed established limits
- Advises travelers of and assists with any need for specialized travel documents such as visas or passports
- Monitors and facilitates the use of company air travel credit cards, frequent flyer programs, and other applicable rewards and loyalty programs
- Coordinates individual and group travel with travel agency
- Confirms and reviews bookings
- Handles billing issues – prepayments, credit card authorizations, expense reports
- Reviews invoices, complete expense reports, track credits
- Keeps up to date with travel restrictions
- Familiar with Concur and Concur Expense systems
- Collect data from employees and build travel profiles in Concur
- Ensure Concur information is kept up to date and credit cards are updated
- Performs other related duties as assigned
Requirements
- Travel Agency experience preferred
- Experience with Concur Travel & Expense a must
- Entertainment industry experience a bonus
- Excellent verbal and written communication skills
- Strong working knowledge of the travel industry
- Excellent decision-making skills with the ability to assess multiple options and to identify the best choice to serve a specified goal
- Excellent organizational skills and attention to detail.
- Proficient with Microsoft Office Suite or related software
- Strong problem-solving skills
- Strong ability to manage time and prioritize tasks
- Sound knowledge of domestic and international travel trends
- Degree in Hospitality, Travel, Tourism, Business or relevant field
