Summary

The Corporate Travel Coordinator will arrange business travel for employees, identifying the most cost-effective and efficient travel arrangements and making necessary reservations for accommodations.

Responsibilities include, but are not limited to:

  1. Coordinate travel for owners and employees, and when necessary customers and vendors, and make arrangements/reservations for air travel, hotel accommodations, dining reservations, ground transportation
  2. Proactively track flights for delays and cancellations and help travelers find alternative arrangements
  3. Track and maintain company travel issues as they occur and see them through to closure
  4. Monitor travel policy compliance
  5. Maintain owner and employee history of travel-related preferences (likes/dislikes, airline and hotel membership numbers, dietary restrictions)
  6. Serves as travel contact for remote Company-sponsored events, to coordinate travel needs for remote event participants and support staff
  7. Assists in day-to-day processing and tracking of remote event travel logistics
  8. Liaises with Production Management and Legal to finalize hotel contracts
  9. Researches and compares available travel and hotel accommodations to identify the best available option for each travel need
  10. Prepares travel itineraries and distributes travel arrangements and schedules to all appropriate employees
  11. Obtains approval from leadership for travel requests and expenses that exceed established limits
  12. Advises travelers of and assists with any need for specialized travel documents such as visas or passports
  13. Processes reimbursements for travel expenses
  14. Performs other related duties as assigned

Recommended Qualifications

  1. High School Diploma or Degree
  2. Strong working knowledge of the travel industry
  3. Must be familiar with the reservations systems and schedule modes of transportation such as airline and passenger trains, as well as hotel accommodations and ground transportation, globally
  4. Capture all travel-related costs and input them into the costing module
  5. Must be able to work evenings and weekends during certain travel engagements
  6. Excellent verbal and written communication skills
  7. Excellent decision-making skills with the ability to assess multiple options and to identify the best choice to serve a specified goal
  8. Excellent organizational and attention to detail
  9. Proficient with Microsoft Office Suite or related software
