Description

Tourism Economics, an Oxford Economics company, is seeking a Sales Operations Coordinator to join our Business Development team. This role is responsible for maintaining accurate sales data, supporting lead tracking and reporting, coordinating processes within Salesforce, and assisting the business development team in activities that streamline operations and improve efficiency.

As a Sales Operations Coordinator, you will be at the center of the sales process, ensuring data integrity, smooth workflows, and effective coordination across the team. Success in this role requires attention to detail, diligence, strong organizational skills, and a passion for creating and maintaining processes that help the team meet its growth and revenue objectives. In addition to supporting sales-related administration, you will also be responsible for selected subscription renewals of existing clients.

Key Responsibilities

Sales Operations and Data Management

  • Accurately enter, track, and update lead and client data in Salesforce
  • Maintain and organize the sales pipeline, ensuring all records, opportunities, and contracts are up to date
  • Prepare regular reports and dashboards (monthly/quarterly/annual) for senior management, summarizing pipeline activity and sales performance metrics
  • Support the development and documentation of standardized sales processes, procedures, and best practices
  • Assist with subscription renewals by preparing contracts, processing paperwork, and updating records

Team and Process Support

  • Assist the Business Development team in preparing proposals, presentations, and sales materials
  • Ensure all leads, partner stages, next steps, and projected close dates are current and updated including weekly pipeline report and monthly forecast summary with commentary on at-risk deals or upsell opportunities
  • Keep the top of the funnel active by managing lead lists, outreach campaigns, and event follow-up including researching and maintaining target lists by DMO size, type, or region, coordinating and executing follow-up after conferences, webinars, and campaigns and scheduling key prospect meetings for the sales team
  • Organize internal meetings with staff to develop proposals and external client meetings
  • Support scheduling, agenda preparation, and follow-up for sales meetings, calls, and business trips
  • Ensure timely follow-up on outstanding contracts and client documentation
  • Coordinate the flow of information between sales, marketing, and client services teams

Operational Excellence

  • Help identify opportunities to improve Salesforce usage, reporting, and data consistency
  • Ensure the team follows established protocols for data entry and pipeline management
  • Track outreach activities and ensure alignment with internal KPIs
  • Assist in coordinating logistics for events, conferences, and client engagements

Required

Skills, Knowledge & Expertise

  • University degree required
  • 1+ years’ experience in sales operations, data entry, CRM management, or sales administration
  • Ability to work with minimum supervision and prioritize workload to meet deadlines
  • Strong organizational skills and attention to detail
  • Excellent interpersonal and communication skills, both written and oral
  • Highly efficient and process-driven, with the ability to streamline workflows
  • Enthusiastic team player who thrives in a collaborative environment
  • Software experience: Microsoft Office Suite and Salesforce

Desired

  • Experience at a Destination Marketing Organization or Convention and Visitors Bureau (CVB)
  • Familiarity with DocuSign/Panda Doc, Adobe, Gong, and/or Calendly
  • Interest in economics, tourism, sales and marketing
