Role Description:
The Travel Manager will handle key aspects of the trip lifecycle from initial client request through final departure and post-trip feedback. Core responsibilities include quoting real-time hotel rates and availability, communicating client preferences to hotel partners, answering client questions, organizing trip details for presentation, and managing client needs while they are traveling. In doing so, the TM may have the opportunity to earn commission on trips they quote, book, and oversee.
Additional responsibilities include frequent client communications, tracking bookings, maintaining accurate client data in CRM software, handling payment information in accordance with PCI standards, and working with external vendors such as destination management companies to assist with trip and activity planning.
The position reports directly to the Director of Travel Planning & Operations. In addition to hourly compensation, the TM will have the opportunity to earn commission on certain responsibilities and may be eligible for a bonus and travel-related stipend.
Main Responsibilities:
Client & Trip Management
· Quote partner hotel rates and availability in response to client inquiries.
· Answer client questions via email, phone, and text in a timely and professional manner.
· Collect and maintain client information, including personal details, preferences, special occasions, and unique requests.
· Organize trip details into clear, visually appealing itineraries and proposals for client review.
· Build and update itineraries using AXUS and other itinerary software.
· Manage client needs while they are traveling, including coordinating changes, resolving issues, and liaising with vendors as needed.
· Gather and share post-trip feedback as appropriate.
Vendor & Partner Coordination
· Communicate with external vendors, including hotels, DMCs, transfer companies, restaurants, and experience providers, regarding bookings, arrangements, and special requests.
· Book and confirm lodging, dining, transfers, and experiences in line with client preferences and Jetset & Travel standards.
· Follow up with vendors to confirm that client needs are met and that trips are executed seamlessly.
Systems, Tracking & Compliance
· Accurately record all trip details, confirmations, and changes in tracking systems.
· Add and maintain client data within CRM platforms such as SION.
· Handle payment information in accordance with PCI standards and internal Jetset & Travel policies.
Content, Research & Internal Support
· Conduct destination research as required to support client proposals and internal planning.
· Partner with the DTPO to build and maintain internal reference documents.
Required Qualifications:
· Bachelor’s degree or higher.
· Minimum 2 years of experience in the travel industry (agency, luxury resort/hotel, or related service).
· Proficiency with technology including Mac/PC systems, Google Workspace, social media platforms, SION, and AXUS (preferred).
· Strong verbal and written communication skills; confident and polished communicator.
· Demonstrated empathy, active listening, and professionalism in all client and vendor interactions.
· Proven ability to maintain discretion and confidentiality.
· Service-minded attitude with a willingness to take on both large and small tasks.
· Flexible scheduling, including occasional evenings and weekends.
· Self-starter with intellectual curiosity, motivation, and strong work ethic.
· Commitment to excellence, with a balance of confidence and humility.
Compensation:
Hourly Wage
· The Travel Manager will be paid an hourly wage DOE for all approved work performed. This is the only guaranteed form of compensation for this role.
Commission
· After an initial three-month probationary period of engagement, the Travel Manager will be eligible to earn a percentage of gross, pre-tax trip revenue for trips they book and manage through the entire lifecycle.
Bonus Eligibility
· The Travel Manager may be considered for an annual performance-based bonus, dependent on overall company performance and individual contribution.
Travel Stipend
· The Travel Manager may be considered for an annual travel stipend.
Hours:
· This is an independent contractor (1099) position; hours are not guaranteed.
· The role is structured as full time, with an anticipated average workload of approximately 40 hours per week, with flexibility to increase as business needs evolve.
· The work schedule may vary weekly and may occasionally require weekend or evening availability.
· The Travel Manager is responsible for tracking hours and submitting bi-weekly invoices to Jetset & Travel.
Training:
· The Travel Manager is required to complete Jetset & Travel’s training and onboarding program, which will be paid at the agreed-upon hourly wage.
· Training typically consists of daily one-hour sessions during the first two weeks of engagement, along with guided practice as needed.
· Jetset & Travel will provide all necessary tools, resources, training materials, and system access required to perform the role independently.
Equipment:
· As an independent contractor, the Travel Manager must supply their own computer, phone, and related technology to fulfill job duties.
