The Opportunity

The University of Central Florida’s (UCF’s) Finance Business Centers (FBCs) provide the first point of contact support for employees across the university’s various colleges and divisions. Each center is embedded within a college or division, allowing the Finance, Research & Procurement staff within the center to be integrated into the operations and culture of the community in which they work. Through this model, Finance & Procurement staff act as invaluable advisors and business advocates for the college or division that they serve. Responsibilities for travel and procurement coordination may be combined into the same role depending on the needs of the college or division.

Procurement

Responsibilities:

  • Participates in the development of solicitation for bids.
  • Assists colleges/divisions with developing contracts, leases, vendor identification, and supplier agreements. Initiates adds/updates to the vendor master file, and obtains supplier-provided documentation.
  • Initiates requisitions and supports colleges/divisions with purchases.
  • Reviews requests for procurement policy adherence before entry into Workday and proposes alternative solutions when the request is out of compliance.
  • Reviews and analyzes contracts and pricing agreements, exceptional purchases, Waiver of Competition, and Sole Source Certifications following college/division processes and university policy and regulations.
  • Acts as a liaison between college/division staff, general counsel, and the vendor on the development of contractual agreements.
  • Makes procurement card purchases for college/division needs.
  • Manages purchase orders, expense authorizations, invoice receipts, and invoice payments.
  • Initiates change orders to purchase orders.
  • Adds and/or validates Worktags to verify appropriateness for acquisition.
  • Performs receiving in Workday.
  • Initiates RMAs with suppliers and coordinates returns, as required.
  • Supports the management and tracking of college/division assets and inventory.
  • Verifies, reviews, and reconciles procurement card transactions to ensure compliance with university policy and regulations.
  • Prepares requests for petty cash funds and replenishment of petty cash.

Travel

  • Serves as a general resource and point of contact for travel-related issues.
  • Assists employees with travel-related issues or concerns.
  • Receives and responds to incoming travel requests.
  • Initiates spend authorization for travel upon request.
  • Researches and compares available travel and hotel accommodations to identify the best available option for each travel need.
  • Books travel and hotel accommodations upon request.
  • Prepares travel itineraries and distributes travel arrangements and schedules to all appropriate employees/travelers.
  • Ensures travel reservations comply with university policies.
  • Advises travelers of and assists with any need for specialized travel documents.

Minimum Qualifications

High School Diploma or equivalent and (4+) years of relevant experience or combination of relevant comparable education and experience pursuant to Fla. Stat. 112.219. Click here for more information

Preferred Qualifications

  • Previous experience in Travel and Procurement with UCF or other university systems.
  • Strong experience related to travel, purchasing, and procurement practices, policies, and procedures especially related to UCF and State of Florida guidelines.
  • Proficiency with Workday, Microsoft Teams, Microsoft Office, and similar programs is strongly desired.
  • Experience supporting foreign travel coordination and/or purchasing items to include entering and monitoring contracts in CobbleStone or similar programs and familiarity with the review process of the university legal office.
  • Demonstrated commitment to providing high-quality customer service.
  • Ability to organize and prioritize work as well as the ability to work with minimal hands-on supervision.
  • Bachelor's degree, related certifications, and higher education experience.
