National Airlines, based in Orlando, FL, operates passenger charter service as well as customized military and commercial air cargo carriages worldwide. National Airlines specializes in over-sized, time sensitive, and special handling requirements, utilizing 757-200, 747-400 and A-330 aircraft to accomplish its missions.

Job Title: Travel Coordinator

Reports To: Travel Supervisor

FLSA Status: Non-Exempt

Summary: Assists crew schedulers and other staff members to make travel arrangements for NAL employees along with reconciliation of travel charges and policy compliance. Below is a list of duties, but not limited to.

Essential Functions:

  • Assists NAL Crew Schedulers with booking Crew or other NAL staff members, new hire, and training travel arrangements, air/car/hotel, and black car if necessary. Requests will be via email, phone or walk up.
  • Bookings will be made via Concur travel tool, with our dedicated travel management company or direct with select vendors due to safety restrictions.
  • Assists with re-booking and cancelling of travel services when there has been a charter flight change. Note, this happens often due to the nature of ad-hoc charter business.
  • Performs daily checks to make sure all travel arrangements are accurate and in accordance with crew members rosters and travel policy.
  • Monitors Air and Hotel booking to avoid double bookings or late cancelation for air tickets and hotels.
  • Communicates important information to crew and hotels, travel, companies, vendors such as late check in (after midnight), name change, pick up & drop off time, location change etc.
  • Assists with utilizing unused tickets on file for travelers.
  • Assists with special requests to coordinate travel arrangements.
  • Works with the NAL Corporate Travel Manager to manage compliance to company travel policy and preferred vender programs.
  • Answers crew travel inquiries, last-minute changes, and customer service issues.
  • Assists with travel customer service concerns through our travel feedback email boxes.
  • Performs other duties as assigned.

Supervisory Responsibility: No

Qualifications:

  • Working knowledge of travel industry or systems like Concur, preferred.
  • Good time management, customer services, communication, and organization skills
  • Ability to work independently and as a team and be dependable and reliable.
  • Ability to manage multiple priorities simultaneously and complete tasks with minimal supervision.
  • Ability to identify a problem and see it through with minimal supervision.

Hours and Location:

  • Hours, we are a 24/7 operation so flexibility to work nights/afternoons/weekends.
  • Location, Orlando, FL Corporate Office. This is not a remote position.

Physical Requirements:

  • Prolonged periods of sitting.
  • Must be able to lift up to 15 pounds at a time.
