Job Description:

Insight Global is seeking an experienced Travel Coordinator to arrange, manage and coordinate all aspects of the Public Works department business travel. Coordinate employee transportation, lodging, car rental and develop itineraries. Adhere to policies and procedures for the city's employee travel program. Serves as a subject matter expert and liaison for the department, travel agencies and third-party travel software provider. Works under general supervision.

Must Have:

  • Have 1+ year of travel coordinator experience.
  • Be extremely detail oriented and great at multitasking travel advances, registration, hotel, airfare, approval processes, true-ups post-travel, confidentiality utilizing eSignatures, etc.
  • Some financial acumen, and Excel proficiency.
  • Able to regularly process and code all travel invoices.
  • High School Degree or GED.

Plusses:

  • Experience with travel software such as Concur and/or online reservation system.
  • Associate's degree in business or related field.

Responsibilities:

Coordinates all travel needs for the Public Works department. Schedules hotels, flights, and car rentals and prepares itineraries. Assists with processing and other travel-related documentation. Works with outside travel agencies. Serves as a subject matter expert and point of contact for all travel-related issues or concerns. Communicates travel status with internal customers. Researches, negotiates, and secures rates with airlines, car rental companies, and hotels. Seeks and maintains knowledge as to the best seasonal pricing and availability. (50%)

Administers, monitors and reimburses city employees for the cost of hotel rooms, taxi rides, meals and or other travel expenses. Prepares, processes and monitors employee travel advances and reimbursements. Validates employee advance and reimbursements requests to ensure adherence to city policies and procedures. Tracks travel advances and reimbursements submissions and payments to facilitate timely processing and provides a monthly report. (30%)

Processes p-card transactions and coordinates with department staff to ensure the correct expenditure lines are charged and purchases adhere to all applicable City of Boise policies. Communicates with p-card holders to help them understand and provide accurate and appropriate documentation in a timely manner. Participates in audit reviews, special projects, or training efforts as required. (20%)
