Travel Services Coordinator
YN Travel/Central Accounting

Hourly Wage: $18.23/Regular/Full-Time
The employee in this position is responsible for the coordination of services for Yakama Nation Travel. They provide recommendations and coordinates arrangements to Yakama Nation personnel on travel to and from destinations that consist of airfare, hotel and car rentals and Per Diem when needed. Ensures costs are reasonable and allowable for YN employee travel. Prepares itineraries and maintains a proper records management system. Performs accounting duties by verifying/inputting travel advances and close out of TA's in the period that is required. Reconciles monthly tribal credit card transactions.
Examples of Work Performed
Makes and perform arrangements for transportation, hotel accommodations, and car & bus rentals for Yakama Nation personnel.
Maintains highest ethical standards in all job functions; protects organizational value by keeping information confidential.
Provides courteous professional services and is cordial to internal and external guests and/or vendors.
Must have positive work history; responsible for maintaining a consistent and regular attendance record; must be able to work varying shifts, weekends, holidays.
Attain travel routes to support cost comparisons as needed. Comply with GSA/Federal travel regulations.
Process and reconciles Tribal Travel Advances and Travel Authorization Close Outs and coordinates with the programs to complete processes.
Assist with reporting on open TA's and necessary follow up for prompt Close Out.
Process routine Journal Entry to post travel expenses to appropriate programs- weekly/monthly/yearly.
Follow up on any unauthorized expenditures/charges and complete the process to resolve.
Assists with preparation of monthly and annual reports regarding Travel.
Assist with maintaining an ongoing travel cost spreadsheet for monthly recording of expenditures.
Contacts hotels for lodging receipt when needed.
Assists with recommendations/input regarding Travel Policies and Procedures.
Attends training as needed to keep updated in the travel industry. Assists Accounting with payables when needed.
Requires light work that involves sitting or walking most of the time, and skill, adeptness and speed in the use of fingers, hands or limbs on repetitive operation of electronic office machines within close tolerances or limits of accuracy.
Knowledge, Skills And Abilities
Must have good customer service skills and good work ethic.
Knowledge of Yakama Nation Finance Manual, Travel Policies and Purchasing Manual.
Knowledge of GSA Travel Regulations, 2CFR 200 and Generally Accepted Accounting Principles (GAAP).
Ability to establish and maintain effective working relationships with employees, travel industry personnel, public and private officials.
Knowledge of computerized accounting and financial reporting systems.
Maintain effective filing system both electronically and hard copy.
Ability to accomplish assigned administrative tasks with a minimum amount of supervision and direction.
Skilled in computer software including Excel, Word and online banking.
Ability to remain flexible to changes in assignments or situations, priorities and handle frequent interruptions.
Ability to be professional, speak clearly and concisely.
The job requires normal visual acuity and field of vision hearing and speaking.
Minimum Requirements
Requires high school diploma, GED, or specialized vocational training. Requires general knowledge of accounting functions and computer data entry.
Requires a minimum of two years' experience in a clerical, accounting, or data entry position. Requires proficiency in Excel, Word, and 10-key. Must have the ability to work independently and within a fast paced and high-volume environment with accuracy and timeliness. Must take initiative with duties and being well organized. Excellent communication skills both written and verbal.
Required to pass a pre-employment drug test.
