We are looking for an enthusiastic and skilled Event Planner to join our Travel Edge team. This role will be responsible for the planning, coordination, and execution of both in-person and virtual events that engage and elevate the Travel Edge community within the luxury travel industry. From conferences and networking events to exclusive trips and virtual experiences, your expertise will be key in delivering exceptional event experiences.
Key Responsibilities:
- Lead the planning in virtual events, and assist in the execution of in-person conferences, regional networking events, and high-end travel experiences.
- Design events that foster engagement, build strong attendee participation, and align with Travel Edge’s brand and community goals.
- Collaborate closely with internal teams, external vendors, and partners to ensure seamless coordination and successful event delivery.
- Serve as the primary point of contact with leadership teams and key stakeholders when lead on events, mostly virtual, providing updates on event status, progress, and adjustments.
- Oversee event logistics such as catering, AV, transportation, accommodation room block, signage and design, swag/gifting, communications, and technology for virtual events.
- Develop detailed event timelines, project plans, and communication strategies to ensure timely and efficient execution.
- Work with the creative marketing team to produce promotional materials, event communications, and digital content that drive registration and engagement.
- Manage event registration, attendee tracking, and communication, ensuring smooth processes from start to finish.
- Conduct post-event evaluations, gathering attendee feedback and analyzing ROI to continuously enhance future event strategies.
- Stay informed on industry trends, innovative practices, and emerging technologies to refine and elevate event offerings.
Qualifications:
- Bachelor's degree in Event Management, Marketing, Hospitality, Tourism, or a related field.
- 2-3 years of proven experience in planning and executing both in-person and virtual events.
- Exceptional attention to detail, ensuring every aspect of the event is executed to your best ability.
- Strong project management skills with the ability to prioritize tasks and meet deadlines in a dynamic, fast-paced environment.
- Excellent communication and interpersonal skills, with the ability to engage and build relationships with a variety of stakeholders.
- Proficient in event management software, CRM systems, and virtual event platforms (e.g., Cvent or similar).
- Creative problem-solving abilities with a proactive, solution-oriented approach.
- Flexibility to accommodate travel and work on-site at events as needed.
