Brief Description

The Travel Coordinator is responsible for making flight, rental car, hotel, and airport transfer arrangements for employee and prospective employee travel, both domestic and international. This position will assist with travel arrangements for company events and administrative processing for travel, such as Passport/Visa applications and travel system administration.

  • Not eligible for work sponsorship

Hours: 8am - 5pm, Monday through Friday

Position starts: June 2025

Responsibilities

  • Book flights, rental car, hotel and airport transfers through the company approved travel systems (i.e. Concur, Saber)
  • Maintain employee profiles in the company travel system
  • Negotiate hotel and rental car rates, set up applicable contracts
  • Work closely with company event planners and marketing on annual trade shows, annual customer appreciation event, and workshops to ensure proper flight, hotel, rental car, and transfers.
  • Administer the travel policy and travel authorizations
  • Assist with approved employee relocation or temporary housing accommodations
  • Track and report travel expenses
  • Assist in the planning of company events and meetings
  • Manage Passport and Visa applications
  • Assist with non-commercial vehicle assignment and compliance
  • Other duties/responsibilities as assigned

  • Must be able to travel on occasion to review/select travel accommodations
  • Must be able to effectively use Microsoft Office and travel software
  • Must be self-driven with excellent attendance and availability.
  • Must be able to read, write, and speak English.

EDUCATION And EXPERIENCE

  • Must have a High School diploma or equivalent required; associate degree preferred
  • Prior related experience with travel booking and travel system use preferred
  • Must have intermediate use/experience in Microsoft WORD and EXCEL

Physical Requirements And Working Conditions

CONTACTS: Internal – Continuously (67 - 100%) External – Occasionally (6 – 33%)

Contacts involve giving or exchanging information of a limited controversial nature.

Regularly

  • Communicates via phone, email, video, or in person
  • Required to sit, perform keyboard work, for prolonged periods of time
  • Operates a computer and other office equipment such as a copy machine and printer.

Occasionally

  • Lift and/or move up to 20 lbs.
  • Must be open to travel, inclusive of overnight, about 5% of the time.

Other

  • Standard office environment. The noise level is usually low, due to office equipment.
