Position Summary
The Travel Coordinator is responsible for travel, transportation, lodging, and catering requirements for all employees and customers in accordance with Thrive Aviation’s corporate travel policies.
Duties & Responsibilities
- Responsible for booking and coordination of airline tickets, car rental, and hotels for all employees and customers.
- Provides guidance to travelers and administrative assistants in regards to any travel related issue(s)
- Plans itinerary for travel and accommodations using knowledge of routes, types of carriers and regulations.
- Orders and follow through to delivery all employee and customer catering needs.
- Liaison with hotel and car rental vendors to ensure proper payment authorizations.
- Answers inquiries regarding fares, availability of travel, and accommodations.
- Responsible for the processing and handling of documentation for the Travel Department reporting.
- Handle accident reports and work with insurance carriers on claims processing.
- Reviews invoices and checks for accuracy. Issues work order and/or service entry. Provides final invoice with backup to Accounting for payment
- Produces accurate expense reporting for all travel and catering booked.
- Other duties as assigned by Management or Senior Leadership
Requirements
Experience & Qualifications
The most successful candidate in the position will meet most, if not all, of the following criteria.
- Bachelor’s degree in Aviation, Business Administration, or related field is preferred; AND/OR
- 2-3 years of experience in travel coordination within the aviation industry
- Experience using Microsoft Office and Google Suite
- The ability to communicate effectively verbally and in writing
- The ability to multi-task and manage projects efficiently and effectively
- Experience with JetInsight or other aviation logistics software highly desired
- High degree of confidentiality and the ability to treat all matters with the appropriate discretion
- Ability to thrive in a fast-paced environment and willing to take on new challenges as the company grows
Physical Requirements
The physical demands described here are representative of those that must be met by an employee to successfully perform required duties. While performing the duties of this job, the employee is regularly required to sit; use hands to finger and required to reach with hands and arms. There is no significant standing, walking, climbing, kneeling, reaching, handling, pushing, and pulling. The person in this position needs to be able to move about inside the office to access file cabinets, office machinery, etc. There is a constant operation of a telephone and computer. The employee may be lifting up to 15 lbs. Specific vision abilities required by this job include close vision and ability to adjust and focus.
