Travel Specialist
We’re looking for an exceptionally organized, people-focused Travel Coordinator to join our Travel team. This entry-level role is perfect for someone who thrives in a fast-paced environment, enjoys creating seamless experiences for others, and is passionate about service and hospitality.
As a Travel Coordinator, you’ll help manage all aspects of employee travel — including booking flights, hotels, trains, and car rentals — ensuring every trip runs smoothly and efficiently. You’ll work closely with employees and leaders across the company to provide personalized support and timely solutions, often outside of traditional business hours.
Key Responsibilities
- Coordinate and book all modes of travel (air, hotel, train, car) through our corporate travel platform.
- Manage travel requests submitted through the company’s travel queue, email, text, or phone — providing quick, thoughtful, and accurate responses.
- Monitor travel itineraries to ensure accuracy, efficiency, and adherence to company travel policies.
- Partner with finance and event services teams to reconcile travel costs and maintain accurate records.
- Anticipate traveler needs and resolve last-minute issues (delays, cancellations, rebookings) with empathy and urgency.
- Maintain detailed travel data in Excel, numbers or company tracking systems for reporting and auditing.
- Provide white-glove, hospitality-level service to all travelers, ensuring every experience reflects our company’s values and culture.
- Be available on a flexible schedule — including mornings, evenings, and weekends — to support high-volume travel periods or urgent needs.
- Ensure all travel bookings adhere to the company’s travel policy.
- Communicate travel policies and guidelines to employees and provide training as needed.
- Monitor global travel advisories and inform employees of potential risks.
- Assist with emergency travel arrangements in unforeseen situations.
- Stay informed on industry trends, tools, and technologies to enhance the corporate travel program.
- Identify opportunities for cost savings, efficiency, and traveler satisfaction improvements.
