Optimum Healthcare IT is seeking a ***temporary*** Travel Coordinator to join our rapidly growing healthcare IT consulting practice. As a Travel Coordinator, you’ll play a critical role supporting our Go-Live electronic medical records implementation team. A typical day may include you booking travel for large groups, matching travel expenses with our travel policies to process expense reports, and providing status updates on the Go-Live progress to the Implementation Manager. This role will support and collaborate with the Project Manager, HCIT Delivery Manager, and Activation Coordinator to ensure travel readiness for Go-Live projects. This role will primarily be remote with some travel at times (very limited, if any). We are seeking someone with 1+ years’ experience in corporate travel bookings.

What you will do:

  • Be responsible for the timely coordination, management, and tracking of travel arrangements and accommodations in accordance with the approved budget for each project.
  • Creates itineraries for the team’s travel and communicates travel plans to each consultant, ensuring that air, hotel, and transportation arrangements are tracked and entered into the project file.
  • Tracks hotel, rental car and dining expenses and ensure that they are in accordance with the company’s travel policies for expense reimbursement.
  • Provides administrative support the Project Manager and the HCIT Delivery Manager, to ensure travel readiness for Go-Live projects. May also need to travel for large Go-Live projects to assist the project manager with the distribution of supplies, documents and information.
  • Supports managers with routine, day-to-day timekeeping inquires.
  • Attendance tracking: coordinate with managers to ensure employees are on the correct schedule patterns.

What we are seeking:

  • 1+ years of experience with corporate travel coordination
  • Demonstrated ability to work collaboratively and professionally under pressure and tight deadlines (overtime will be required during Go-Live weeks)
  • Proven experience working with Microsoft products (Intermediate Excel needed)
  • Solid technical and analytical skills
  • Exceptional organizational and problem-solving skills with a passion for details and accuracy when handling a large volume of documentation
  • Bachelor’s Degree strongly preferred
