This temporary work of class assignment is expected to last up to six months.
The Travel & Training Coordinator is responsible for coordinating travel and training for the Health Department. This position ensures that travel and training is carried out in accordance with Department and County policies. The duties include making travel arrangements and registrations for training, monitoring travel cards, reconciling trips, making entries into appropriate electronic systems, communicating with and educating travelers and any other tasks associated with Travel and Training. The person in this position will center equity in policy and practice and in service to the Health Department’s value of racial equity and its mission to reduce health disparities. This is a work out of class position assignment.
As The WOC Travel/Training Coordinator, You Will
- Carefully analyze travel and training requests to ensure compliance with County policies; instruct travelers on County Administrative Policy FIN-2, guiding travel and training required procedures
- Register travelers for conferences, seminars and trainings; reserve lodging and ground transportation services
- Prepare and maintain traveler files in an organized and audit-ready manner
- Arrange payment/collection of amounts due to/from a traveler after a reconciliation is completed
- Conduct internal audit and compliance reviews; produce reports and spreadsheets for tracking
- Calculate trip per diem and ensure that travelers are paid in time for their trip
- Maintain an inventory of travel cards and ensure appropriate assignment to travelers
- Provide training to employees/clients/stakeholders on travel and related finance requirements
- Analyze current processes and makes recommendations to management and stakeholders on process improvements or potential conflicts in policy or process
- Process invoices as assigned

Minimum Qualifications/Transferable Skills*:

- Education: equivalent to a bachelor's degree
- Experience: one (1) to four (4) years of experience that demonstrates the ability to perform the duties of the position

Schedule: Monday to Friday, 8:00 am - 5:00 pm with some flexibility
Hybrid Telework: This position is designated as “hybrid telework,” meaning you will be working both remotely (from home) and in person at an onsite location. AP staff typically come to the office 1-2 days a week. The designation of Hybrid Telework may be subject to change at a future time. All employees must reside in Oregon or Washington; the county cannot support ongoing telework from other locations. The onsite work location for this position is the Gladys McCoy Building located at 619 NW 6th Ave., Portland, OR 97209.
Serving The Public, Even During Disasters
Everyday, Multnomah County staff work together to serve as a safety net for our communities. During a disaster, this safety net becomes even more critical. All County employees have a role in serving the public during inclement weather, natural disaster, or other types of community emergency response. During these emergency responses, while typically there begins with a call for volunteers, county employees may ultimately be reassigned from their current position to a role in the emergency response in order to support the critical needs presented by our communities.
