Group Overview
Air Mobility Group (AIRMOB) is responsible for developing and delivering Metrea’s aerial refueling (AAR) capabilities, ensuring the readiness and operational effectiveness of the tanker fleet. AIRMOB oversees fleet management, maintenance, and airworthiness, working to sustain and enhance refueling operations. It manages the integration of new processes and technologies, ensuring that tanker aircraft remain mission-ready through effective logistics, maintenance oversight, and regulatory compliance. By coordinating across various teams, AIRMOB ensures the fleet meets both current and future operational needs, supporting a range of specialized air mobility missions.
Position Summary
We are seeking a highly organized and detail-oriented Travel Coordinator to join our team. The ideal candidate will be proficient in coordinating complex travel arrangements in compliance with the Joint Travel Regulations and coordinating travel logistics within diverse settings. The Travel Coordinator is focused on achieving optimal contract execution, efficient product delivery, and ensuring customer satisfaction, this position serves as a vital link between Aircrew, Maintenance, Logistics and Supply Chain and Leadership.
Role And Responsibilities
- Manage all aspects of domestic and international travel for government employees and contractors in compliance with FAR, Joint Travel Regulations (JTR), and agency-specific policies.
- Prepare and review travel authorizations, vouchers, and reimbursement packages.
- Coordinate with travelers, leadership, and finance teams to ensure timely approvals and proper documentation.
- Maintain accurate travel records and generate travel reports for audits and management review.
- Experience with federal travel systems (e.g., DTS, ConcurGov, E2 Solutions, D365) to process travel requests and expense claims.
- Monitor travel budgets, flag discrepancies, and work closely with finance to ensure compliance and cost control.
- Use the Windows D365 expense processing tool to process claims promptly and accurately, ensuring compliance with the relevant policy.
- Monitor the submission of claims, proactively addressing untimely submissions and approvals as necessary and escalating as required.
- Build and maintain good working relationships within the organization.
- Ensure travel arrangements adhere to all legal requirements, such as obtaining passports and visas.
- Resolve any issues arising during travel, such as delays or changes in itinerary.
- Communicating with vendors such as airlines and hotels, and vehicle rentals.
- Actively participate in the development of process and training materials, ensuring alignment with company policy and PMO compliance.
- Schedule airline reservations, ground transportation and hotel accommodations.
- Provide responsive courteous support to employees via email and phone.
- Additional administrative tasks assigned by supervisor.
Education
Skills and Experience
- High School Diploma or equivalent and one to three (1-3) years of administrative experience.
Experience
- Working knowledge of Federal Travel Regulations (FTR), JTR, and FAR-compliant travel processes
- Working knowledge of GSA based Travel Authorization Processes
- Familiarity with government travel systems (e.g., DTS, ConcurGov, E2)
- One to three (1-3) years’ experience in an administration function dealing with travel coordination.
- Demonstrated experience working independently and as a member of a team.
- Strong organizational skills, attention to detail, and the ability to manage multiple priorities
- Experience prioritizing assignments to complete work promptly under the pressure of deadlines and interruptions.
- Administrative support experience, including strong organizational skills, and ability to exercise independent judgment, and the ability to discern when action of a higher level is required.

- Proficient in Microsoft Office Suite Products (Excel).

- Concur travel system. (Preferred).
Certificates And Licenses
- Valid Driver’s License
Additional Eligibility Qualifications
- Experience with GSA travel policies
- Experience supporting federal programs or working within a PMO
- Familiarity with SharePoint or other collaboration tools
- Regular attendance and punctuality.
- Maintain a high level of confidentiality.
- Potential needed to work flexible hours and be available to respond on short notice.
- Responsible for adhering to all applicable laws, regulations, and company policies and procedures.

Position Type and Expected Hours of Work
This is a full-time non-exempt position with typical working hours of Monday through Friday, 8:00 a.m. to 5:00 p.m with occasional night and weekend shifts required. Hours and work shifts may change in accordance with department and business needs. Exempt Employees must have the ability to be on-call and available, as business needs require. Non-Exempt employees may be required to work over 40 hours per week with approval from the department manager.
