Position Summary

Diamonds International is seeking a highly organized and proactive Travel Coordinator to support our Cruise Retail Division. This role is responsible for coordinating all travel arrangements for our onboard sales professionals while ensuring timely and accurate submission of crew movements to our cruise line partners.

The Travel Coordinator plays a critical role in ensuring crew members arrive at their assigned ships on schedule by managing domestic and international travel, monitoring itinerary changes, and maintaining clear communication with internal teams, crew members, travel partners, and cruise line representatives. This position requires exceptional organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced, deadline-driven environment.

This position is fully remote, but the ideal candidate resides in the state of Florida.

Key Responsibilities:

Travel Coordination

  • Coordinate all domestic and international travel arrangements for crew members joining and departing cruise ships.
  • Book flights, hotels, ground transportation, and other travel accommodations while adhering to company travel policies and budgets.
  • Ensure all travel is scheduled to meet embarkation and disembarkation deadlines.
  • Monitor travel itineraries and proactively manage schedule changes, delays, cancellations, and other travel disruptions.
  • Serve as the primary point of contact for crew members regarding travel arrangements before, during, and after transit.
  • Work closely with travel agencies and airline partners to secure cost-effective travel solutions.
  • Maintain accurate travel records and documentation for all crew movements.

Crew Member Coordination

  • Prepare and submit crew movement requests to cruise line partners within required timelines.
  • Ensure all embarkation, disembarkation, transfers, and contract extensions are communicated accurately to the cruise lines.
  • Verify that all required documentation and travel details are complete prior to submission.
  • Coordinate closely with Operations, Recruitment, HR, and Personnel Logistics teams to ensure seamless crew scheduling.
  • Monitor crew movement confirmations and resolve discrepancies with cruise line personnel as needed.
  • Maintain an organized tracking system for all upcoming crew movements and travel schedules.
  • Communicate travel confirmations, itinerary updates, and schedule changes clearly with crew members and internal stakeholders.
  • Respond promptly to urgent travel requests and after-hours travel issues when necessary.

Data Management & Reporting

  • Maintain accurate records of travel bookings, crew movement submissions, and travel expenses in Navan.
  • Ensure all travel documentation complies with company policies, cruise line requirements and country entry requirements.
  • Support audits and compliance reviews as needed.

Qualifications:

  • 2–4 years of experience coordinating domestic and international travel, preferably within the cruise, maritime, airline, or hospitality industry.
  • High school diploma/GED or higher.
  • Experience coordinating travel for large teams or international personnel strongly preferred.
  • Strong organizational and time management skills with exceptional attention to detail.
  • Ability to manage multiple priorities in a fast-paced, deadline-driven environment.
  • Excellent written and verbal communication skills.
  • Comfort working with international teams across time zones.
  • Experience using travel booking platforms and online reservation systems.
  • Proficiency with Microsoft Office, particularly Excel and Outlook.
  • Working knowledge of travel visas and documentation.
  • Experience coordinating international travel and logistics.
