Client Overview
Atrium is partnering with one of the largest investment banking institutions in Latin America. They specialize in wealth and asset management, as well as corporate lending, sales and trading! Currently, they are looking to add a Travel Coordinator to their team.
Salary/Hourly Rate
$65k - $80k
Position Overview
The Travel Coordinator role is a highly technical job in a fast-paced environment - attention to detail is incredibly critical, and prior experience booking travel is required. This Travel Coordinator works with a team on the US travel desk and books every kind of travel possible for employees: domestic, international, multi-stop, group travel, hotels, car services, temporary housing, full family international relocations, etc. along with providing customer service for afterhours travel emergencies, managing visa procurement, creating itineraries, liaising with various travel vendors and agencies and internal employees.
Responsibilities Of The Travel Coordinator
- The Travel Coordinator will create employee travel profiles, inclusive of name, DOB, IDs, frequent flier numbers, seat preferences, addresses, and additional related details.
- Work directly with employees to facilitate quotation and booking of all business travel while providing excellent customer service.
- Coordinate quotation and booking of travel with external travel agencies, including flights, hotels, rental cars, and car services.
- Research and quote travel options via Concur Solutions.
- Perform price comparison for international flights between carriers and agencies.
- Ensure all employee travel is in line with the internal travel policy (cost, class of service, duration, ground transportation).
- Coordinate and document approval of trips with the employee's manager before booking.
- Diligently maintain travel documents, profiles, and booking and reporting spreadsheets.
- Create detailed travel itineraries.
- Manage corporate travel rewards programs, tracking and applying points to offset travel costs.
- Provide support for all travel-related items, including flight changes and cancellations, and other traveler issues, domestic and foreign.
- Coordinate employee and family relocations, including temporary housing and pet accommodations.
- Manage travel visa procurement, including preparation of documentation, checks, and coordination with visa expeditor services.
- Manage relationships with external agencies and participate in service calls, annual reviews, and contract negotiations.
- Alert the US and international offices of visiting employees.
- Assist in the month-end corporate card reconciliation processes.
- Perform backup reception and administrative functions as needed.
- Assist with administrative responsibilities, including procurement, reporting, shipping, scheduling, events, and ad hoc projects as needed.
Required Experience/Skills for the Travel Coordinator:
- Travel Coordinator will need 2+ years of experience booking business travel.
- Exceptional attention to detail.
- Customer service oriented.
- Ability to work independently and in a team environment.
- Available after hours and weekends for travel emergencies.
- Ability to multitask.
- Ability to work in an extremely fast-paced environment.
- Proficient in Microsoft Office.
- Strong organizational skills.
Preferred Experience/Skills for the Travel Coordinator:
- A Portuguese or Spanish-speaking candidate is preferred.
Education Requirements:
- Bachelor's degree is preferred.
