General Position Summary

This position is responsible for setting up reservations and travel itineraries from leisure customers, sub agency, c orporate customer and inquiries from JTB group company in Japan.

Essential Job Functions

FIT Travel Arrangement & Sales

  •  Corresponds with clients and answers inquiries, provides suggestions and/or makes sales via web, emails and phone calls.
  •  Makes travel arrangements such as Sunrise tours, JR Pass, Ghibli tickets, airfare, cruises, hotels, and Look American Tours for customers including agencies.
  •  Assists walk-in customers.
  •  Conducts sales promotion activities such as sales calls to agencies, flyer promotions, media advertisements, etc.
  •  Provides various travel information to customers such as destinations, fares and travel regulations.
  •  Assists with analyzing the business potential of leisure markets.
  •  Communicates well with vendors, clients and related parties within the organization.
  •  Handles complicated vendor or client situations.
  •  Uses good judgment in troubleshooting.

Reservation/Ticketing Management

  •  Handles reservations and ticketing for leisure customers by email or phone calls.
  •  Observes, receives and otherwise obtains information from all relevant sources to provide accurate information and advices to maximize cost savings and provide a high degree of customer services.
  •  Monitors online booking account, issues tickets, and assists with changes, requests for new bookings or other issues.
  •  Resolves daily occurrences such as weather delays, flight schedule changes, re-issue, hotel rate issues, etc.
  •  Answers questions from clients regarding invoices, refunds, credits, no show charges, etc.
  •  Distributes invoices and statements for on time payment.
  •  Fully understands and acts upon our customer needs at all times.
  •  Maintains and develops customer base by suggesting products and services which meet and exceed client expectations.

  •  Seeks constant improvement, more efficient and less expensive ways and means in work processes.
  •  Performs special projects and other miscellaneous duties as assigned by your superiors.
  •  Maintains high ethical standards in the work place.
  •  Reports all irregular issues and problems to your superiors for solutions.
  •  Maintains good communication with your superiors, office staff members and outside contacts.
  •  Complies with all company policies and procedures.
  •  Responsible for maintaining a clean and safe working area.

Qualifications

Knowledge, Skills, Education & Work Experience

  •  Possesses at least 2 years of experience in the travel industry, or equivalent skills, in the area of one's expertise.
  •  Possesses sufficient knowledge and skills to perform work on his/her own, and provides guidance to team members.
  •  Proficient in the area of one's expertise, but also knowledgeable about the broader business environment that has impact on one's work.

Tools/Equipment

  •  General office equipment including phones, fax, copier, personal computer, scanner, etc.
  •  Software includes the use of Windows operating system, MS office.
