The Travel Coordinator is responsible for supporting all Satellite employees in their day-to-day travel related needs

About the Role

. Additionally, the Travel Coordinator will act as a liaison with our contracted vendors, coordinate ground transportation and lodging for company employees within policy guidelines, advise travelers as a travel expert on flight/travel options, review and approve travel bookings to ensure policy compliance, provide educational presentations for employees on travel policies, and monitor costs. The Travel Coordinator will handle all travel related problems, provide a high-level of customer service, by ensuring travel and related logistical operations run smoothly.

Essential Functions:


  1. Coordinate air travel, ground transportation, and lodging for business travel
  2. Ensure travel policy compliance for travel arrangements
  3. Create awareness of this position and develop relationships with all departments for their respective team’s travel needs/scenarios and provide best solution
  4. Work closely with all departments and Marketing department when events (group of 10 or more) are being planned to facilitate and efficiently coordinate travel arrangements.
  5. Review travel bookings to ensure safety and policy compliance
  6. Review and approve exception to policy requests from employees
  7. Manage partner alliances with vendors (airline/train/hotel/rental car/transportation)
  8. Optimize booking tool to maximize interface between travel booking and our travel policy
  9. Analyze reporting tools and make recommendations for improvement
  10. Assist Finance team with flight and other travel receipts for accurate client billing
  11. Keep current with latest travel industry trends vital to the travel planning process to identify safest and most economical travel options
  12. Responsible for driving the Satellite Healthcare culture through values and customer service standards
  13. Accountable for outstanding customer service to all external and internal customers
  14. Develops and maintains effective relationships through effective and timely communication
  15. Takes initiative and action to respond, resolve and follow up regarding customer service issues with all customers in a timely manner
  16. Reconcile the travel account on a monthly basis

Knowledge, Skills & Abilities:

  1. Presentation skills preferred
  2. Must be familiar with travel industry online booking tools
  3. Ability to be innovative, “think outside the box” approach to travel arrangements and solutions
  4. Organized and dependable with strong focus on customer service based approaches
  5. Ability to work independently (with minimal supervision)
  6. Ability to organize workflow and manage a large volume of incoming documents or electronic data accurately
  7. Ability to handle confidential information discreetly
  8. Ability to work in a fast-paced environment
  9. Able to read, write, speak, understand and satisfactorily communicate with others in English in person, over the phone and via email

Experience: Three (3) years travel agency or corporate travel experience

             Any combination of education and experience that would likely provide the required knowledge, skills, and abilities as well as possession of any required licenses or certifications is qualifying

Education: High School diploma, GED or equivalent
